What You Get After Every Forklift Service: Inside the M&C Inspection Report

Here is a question worth asking your current forklift service provider: after the technician drives away, what do you actually have?

For a lot of Singapore operations the honest answer is a scribbled job sheet, or nothing at all. Then MOM asks for maintenance records after an incident, or a warranty claim needs proof of servicing, and there is nothing to show.

That is the reason we rebuilt our service reporting. Every M&C service visit now ends with a complete, signed inspection report, issued on the spot. This is what is in it.

1. The Header: Who, What, When

Every report is numbered and dated, and names the technician who did the work. It records the truck by serial number, brand and model, and captures the hour-meter reading at the time of service.

That hour meter matters more than most people realise. It is your servicing clock, and having it logged at every visit is what lets you schedule the next PM by usage rather than guesswork. We explain the intervals in our guide to forklift servicing in Singapore.

Where we service a truck on behalf of a dealer or leasing company, the report separates the site from the party being billed. Everyone gets the right paperwork.

2. A Clear Safety Status

Near the top, in plain words, the report states one of three outcomes:

This is deliberate. A supervisor should not have to interpret a technician's shorthand to work out whether a truck can go back on the floor. It is one line, and it is unambiguous.

3. The Full Inspection Checklist

The core of the report is a structured checklist, matched to the truck type. For an electric counterbalance forklift it runs to around 30 checks across six groups:

Every line is marked OK, needs attention, or not applicable. Nothing is left to be inferred from silence, which is the usual weakness of a handwritten job sheet.

Different truck, different checklist. A reach truck, a diesel counterbalance and a VNA truck do not share the same failure points, so they do not share the same checklist. The report states which checklist version was used, so you can see the work was matched to the machine.

4. Work Performed, in Detail

The report lists what was actually done, not just what was inspected. On a routine preventive maintenance visit that typically includes battery servicing, topping up hydraulic oil, lubricating the mast chains, greasing the lubrication points and completing a functional safety test, along with a short written summary in plain English.

If we find something that needs a follow-up part or a return visit, it goes in writing here rather than in a phone call that nobody remembers.

5. Customer Acknowledgement, Signed on Site

Your staff sign the report electronically on the technician's tablet before he leaves. The name, company and date are recorded against the visit.

This protects both sides. You have proof the work was completed at your site on that date. We have a clear record of what was accepted. No arguments three months later about whether a visit happened.

6. Completion Photos

The final page carries photographs from the visit. If a fork was worn, a tyre was down to the line or a chain was slack, you see it rather than take our word for it. Photos are also what make a case to a landlord, an insurer or a head office that a repair was genuinely needed.

Why This Matters More Than It Sounds

MOM will ask for your records

Under the Workplace Safety and Health Act, employers must ensure machinery at the workplace is safe and properly maintained, and the WSH guidelines on forklift trucks expect maintenance to follow the manufacturer's schedule with records kept. After an incident, the maintenance log is one of the first documents requested. A complete set of signed reports answers that question in seconds.

It protects warranty and resale value

Skipped or undocumented servicing can complicate a warranty claim. And a truck sold with a full, dated service history fetches noticeably more than the identical truck with nothing on paper.

It shows you the trend, not just the visit

Read across several reports and patterns appear: an hour meter climbing faster than expected, a battery slipping, tyres wearing unevenly on one truck. Common Questions

Do I get a report even for a small repair?

Yes. Breakdown and repair visits are reported the same way, with the fault, the work done and the safety status recorded.

Can I get copies of past reports?

Yes. Ask us and we will send the history for any truck we have serviced.

Do you service brands other than Zowell?
